This Privacy Policy explains how LXAI, LDA — the company behind Lisbon AI — collects, uses, and protects personal data in connection with our events and communications.

We keep it simple. We collect what we need to run the conference. We don't sell your data. You can ask us to delete it at any time.

[01 — Who We Are]

LXAI, LDA is a company incorporated under Portuguese law, with registered office at Rua Tenente Valadim, no 252, 3.1, 4100-476 Porto, registered under NIPC 519 292 740. We organise Lisbon AI, an annual conference for AI builders held in Lisbon, Portugal.

For all data protection matters, LXAI, LDA acts as the data controller. You can reach us at tickets@lisbonai.org.

[02 — What Data We Collect]

  • Registration data. When you purchase a ticket or register for the event, we collect your name, email address, company, and job title. This is processed by our ticketing platform, Tito (see Third Parties below).
  • Event communications. We use your email to send you information about the event you registered for — schedule updates, logistics, and post-event follow-up. We also use Tito to send these communications.
  • Photos and video. We film and photograph the event for documentation and promotional purposes. Content may appear on our website, social media, and YouTube channel. If you appear in event media, this is processed on the basis of legitimate interest in documenting a public event. You can request removal at any time.
  • Speaker and sponsor data. If you are a speaker or sponsor, we process the contact details and biographical information you provide for the purpose of coordinating your participation and promoting the event.
  • Website usage. Like most websites, lisbonai.org may collect basic technical data (browser type, page visits) for analytics purposes. We do not use this data to identify individuals.

[03 — Why We Process Your Data]

  • Contract performance. To process your ticket purchase and provide you with access to the event.
  • Legitimate interest. To communicate event logistics, document the conference, and promote future editions of Lisbon AI.
  • Consent. For any use beyond the above — for example, sharing your contact details with a sponsor — we will ask for your explicit consent first. You can withdraw consent at any time.
  • Legal obligation. Where required by applicable law, including financial record-keeping.

[05 — How Long We Keep Your Data]

  • Attendee registration data is retained for up to 2 years after the event, after which it is deleted or anonymised.
  • Speaker and sponsor data is retained for the duration of the professional relationship and up to 2 years after.
  • Financial records are retained for the period required by Portuguese law (typically 10 years).
  • Event photos and videos published publicly may remain accessible indefinitely as part of the event record, unless removal is requested.

Under GDPR, you have the following rights regarding your personal data:

Request a copy of the personal data we hold about you.

Correction

Ask us to correct inaccurate or incomplete data.

Deletion

Request deletion of your personal data, where no legal obligation requires us to retain it.

Portability

Receive your data in a structured, machine-readable format.

Objection

Object to processing based on legitimate interest, including appearing in event media.

Withdraw consent

Where processing is based on consent, withdraw it at any time without affecting prior processing.

You also have the right to lodge a complaint with the Portuguese data protection authority, the CNPD (Comissão Nacional de Proteção de Dados) at cnpd.pt.

[07 — Security]

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. Our data processors (Tito) maintain their own security standards in compliance with GDPR.

We may update this Privacy Policy from time to time. The current version will always be available at lisbonai.org/privacy. Material changes will be communicated to registered attendees by email.
